How to follow up on property inquiries

Start by recording the inquiry and assigning someone to follow up. Try the following steps on one property before extending the process.

Give each property a reference

Use the same reference on the listing, advertisement and agency messages. Update the price, photos and availability when they change so staff can identify the property being discussed.

Assign the follow-up

Record the property reference, the person responsible, the next action and its date. Before contacting the prospect, check whether a colleague has already replied.

Record what happened

Separate a contact attempt, a customer reply and a viewing appointment. Opening WhatsApp does not prove a message was sent. Record what happened and what still needs attention.

Choose what needs building

If listing details are scattered, start with property pages. If team follow-up is the problem, discuss a management system. Property images and advertisements can be prepared as a separate scope. Include property count, user count and how details are updated when requesting a quote.
